A commercial kitchen exhaust system carries grease-laden air from the cooking line through the hood, filters, plenum, ductwork, and exhaust fan. The stainless steel surfaces staff can see are only part of that path. A hood face can look recently wiped while contamination remains farther inside the system.

Grease control begins with routine observation, but kitchen staff should not enter ductwork, work on a roof, or open powered equipment unless they are trained and authorized to do so.

Observe accessible areas under safe conditions

Follow the kitchen’s shutdown and safety procedures. When equipment is off and surfaces are cool enough to inspect, look at accessible areas without dismantling the exhaust system. Useful observations include:

  • A sticky film or visible deposit on the hood interior
  • Filters that load quickly, no longer sit correctly, or show damage
  • Grease collecting along seams, channels, cups, or edges
  • Drips or deposits appearing after routine surface cleaning
  • A noticeable change in smoke capture, heat, or odor
  • Grease reaching walls, ceilings, or nearby equipment outside the expected capture area

These observations do not diagnose the entire system. Smoke or heat problems can also involve fan performance, filters, makeup air, equipment changes, or other mechanical conditions.

Understand the difference between inspection and cleaning

NFPA 96 inspection intervals and a kitchen’s cleaning frequency are related but not identical. Inspection frequency depends on the type and volume of cooking operation. Cleaning is performed when inspection shows grease or other contamination has accumulated to a level requiring removal, together with applicable authority and insurer requirements.

A calendar can remind the operator to inspect or arrange an inspection. It should not be used to assume a system is clean until a preset date or that every kitchen needs cleaning on the same schedule.

Give the cleaning company enough information to quote access

A useful estimate should identify the business address, hood length, cooking equipment, fuel and cooking methods, filter count, known duct arrangement, fan and roof access, operating hours, shutdown window, water access, and known service history. Photos of the cooking line, hood interior, filters, roof approach, and fan area can help with an initial discussion.

The final scope remains access-based. Panels, multiple duct runs, difficult roof access, containment needs, and conditions discovered after setup can affect the work. Those details should be discussed instead of hidden behind a one-size quote.

Keep day-to-day cleaning and exhaust cleaning separate

Kitchen staff can manage approved routine tasks such as wiping accessible exterior surfaces and maintaining removable filters according to the manufacturer and the kitchen’s procedures. Professional exhaust cleaning addresses the agreed portions of the hood and exhaust path. Wiping the canopy does not replace that work, and filter washing alone does not establish that the duct and fan are clean.

After service, the record should state the date, agreed scope, accessible areas addressed, and any limitations or observations. A cleaning record documents service; it is not an inspection approval and does not replace the authority having jurisdiction, insurer, or other required review.
